ServiceNow is a workflow platform that started in IT service management and now runs HR, customer service, security operations and AI agents on one governed system. It is genuinely excellent at what it does. It is also built for a buyer who is not you: its own annual report says it “primarily sell[s] to enterprise customers and support[s] enterprise-wide deployments,” and with roughly 8,700 customers producing $13.3 billion of revenue, the average customer pays about $1.5 million a year.
Pricing is the giveaway. ServiceNow publishes no list prices anywhere, every quote comes through a sales cycle. The hard numbers that do exist come from public records: UK government framework listings show partner licence bands from about £12 to £988 per user per month, and one negotiated-deal dataset puts the median annual contract at $124,364, with the cheapest around $42,000. Contracts typically run three years, are prepaid annually, and are “generally non-cancellable.”
So the honest summary for a founder: this is a superb platform you cannot afford, on a commitment you cannot exit, solving governance problems you probably don’t have yet.

You need certified admins on an ongoing basis, not just at setup. Headcount growth quietly raises the bill at annual true-up. And you pay for governance machinery, configuration databases, ITIL process rigour, compliance controls that a ten-person company will never open.

Not commercially. There is a free Personal Developer Instance through the developer programme, which is a full non-production environment for learning and building, useful if you want to skill up on the platform, not licensed to run your business on.
Where the line actually sits
It starts making sense somewhere past a thousand staff, when multiple departments need one governed system, auditors are asking questions, and you can fund a full-time administrator. Below a few hundred people, without a dedicated IT function, it is the wrong tool at the wrong price.

For connecting apps and automating steps: Zapier for speed, Make for branching logic per dollar, n8n if you want self-hosting. For a real service desk with published per-agent pricing: Freshservice, or Jira Service Management if you already live in Atlassian. For running team processes: monday.com or Notion.
The useful way to read ServiceNow is as a preview of the problem you will have later. What it sells is not automation (Zapier automates); it is governance: one place where every request, approval and change is recorded, permissioned and auditable. That becomes worth six figures when hundreds of people touch the same processes and someone external asks you to prove what happened. It is worth nothing when you are eleven people in a shared workspace.
So build the habit now and buy the platform later, if ever: write down which automations exist and who owns each one. That register is the part of ServiceNow you actually need at your size, and it costs nothing.
